Coach Hire for Sports Clubs and Events: What to Plan For and How Hunters Handles Match Days

Match day starts long before kick-off, and good sports club coach hire is a big part of getting it right. For club secretaries, team managers and event organisers, getting a squad, coaching staff, kit and supporters to the right place at the right time is half the battle. Get the travel right and everyone arrives relaxed and ready. Get it wrong and you’re warming up in the car park with ten minutes to spare.

At Hunters Executive Coaches we carry teams and supporters across Scotland every week, from football away days to race meetings, golf championships and international rugby at Murrayfield. If you’re looking at sports club coach hire in Scotland, here’s what we’d suggest planning for, and how we handle match days from our base in Tullibody.

Start with the fixture and work backwards

The first thing we ask for is the kick-off, tee time or start time, and when you need to be at the venue. Most teams want time to get changed, walk the pitch and warm up properly, so we build that in and then plan the journey time back from there, with a sensible buffer for traffic and roadworks.

For longer away trips, such as our recent run with Stirling Albion to Elgin City, that planning matters even more. A comfort stop at the right point in the journey can make a real difference to how players feel when they step off the coach.

Get your numbers right

Tell us how many players, coaching staff, medical staff and supporters are travelling. Our fleet of 40 vehicles ranges from 16 to 53 seats per vehicle, so we can match the coach to the group rather than squeezing everyone into the wrong size. For bigger clubs or events, we can run several vehicles together, for example one for the squad and one or two for supporters.

Don’t forget the kit

Kit hampers, medical bags, golf bags, balls, cones and the odd physio table all take up space. Let us know what’s coming with you when you book and we’ll make sure there’s room for it in the luggage hold, rather than in the aisle.

Plan your pick-up points

Many clubs draw players from across Central Scotland. We’re happy to run multi-pick-up itineraries from Tullibody, Alloa, Stirling, Falkirk, Glasgow, Edinburgh and further afield, so nobody has to arrange lifts to a single meeting point. Agreeing times for each stop in advance keeps the day on track.

Think about the journey home

Extra time, penalties, post-match hospitality or a presentation can all push the return later than planned. If there’s a chance you’ll be late, tell us when you book. On long days we’ll plan around drivers’ hours rules so your return is covered and nobody is left waiting.

Supporters and big event days

If you’re taking supporters, a golf society or corporate guests to a major event, book early. Six Nations weekends at Murrayfield, the Scottish Open and big race meetings at Ayr, Musselburgh or Perth are some of the busiest dates in the calendar. Our sporting events coach hire page covers the venues we serve regularly.

Junior and school teams

When young people are travelling, safety comes first. Every driver on our education and youth work is a member of the PVG scheme, all non-service vehicles have individual passenger seatbelts, and we’re approved under both the Stirling Council and Clackmannanshire Council PASS schemes. You can read more on our school coach hire page.

How Hunters handles sports club coach hire on match day

  • Confirmed itinerary: pick-up times, venue drop-off and return plan agreed with you in advance.
  • Drivers who know the venues: our uniformed drivers know the drop-off points and event-day traffic plans at Scotland’s main grounds and courses.
  • Well maintained coaches: every vehicle is maintained and tested at our own DVSA-approved testing station in Tullibody.
  • Comfort on board: reclining seats, USB charging, air conditioning and a PA system and microphone for the team talk on the way.
  • Room to grow: with 40 vehicles in the fleet, we can usually add an extra coach for supporters if numbers go up.

Our new 100% electric Yutong GTe14 coaches are also joining the fleet, which is worth asking about if your club or sponsor has sustainability goals.

Your match day checklist

  • Date, kick-off or start time and venue
  • Arrival time needed at the venue
  • Number of players, staff and supporters
  • Kit and equipment travelling with you
  • All pick-up points and times
  • Likely return time, including any post-match plans
  • A named contact on the day
